We are seeking a highly experienced Senior RFP Specialist with a strong background in insurance and sales industries; call center operations is a Plus+.

The ideal candidate will have extensive expertise in managing complex RFPs, and proposal submissions, with a proven track record of securing major accounts. This individual will play a critical role in leading cross-functional teams to develop winning proposals that drive business growth and align with company goals.

Key Responsibilities:

  • Lead the full lifecycle of RFP, RFI, and grant submissions for high-value accounts in the insurance, sales, and call center sectors.
  • Review and analyze RFPs to determine alignment with company objectives, ensuring compliance with client requirements and legal standards.
  • Develop customized, compelling, and client-focused proposals that clearly articulate the company’s value proposition and differentiators.
  • Collaborate with internal teams (Sales, Operations, Legal, Finance, and Call Center Management) to gather necessary information, ensuring a unified approach to proposal development.
  • Use your deep industry knowledge to tailor responses that address client pain points and offer innovative solutions.
  • Maintain and expand a comprehensive content library for proposals, including case studies, technical responses, pricing models, and service descriptions.
  • Oversee grant writing processes, ensuring alignment with organizational priorities and compliance with funding criteria.
  • Serve as the primary point of contact for client inquiries related to proposals, clarifying any questions to enhance proposal accuracy.
  • Coordinate proposal review meetings, ensuring senior leadership input and approval before final submission.
  • Track and analyze the success rates of submitted proposals, gathering insights for continuous improvement.
  • Ensure consistency in branding, formatting, and messaging in all submissions, maintaining a high level of professionalism.
  • Build and maintain strong relationships with potential clients, leveraging these connections to secure new business.
  • Identify opportunities for process improvements in the RFP and proposal management workflow.

Qualifications:

  • Bachelor’s degree in Business, Communications, Marketing, or a related field.
  • 5-7 years of experience in RFP and proposal management, with a focus on the insurance, sales, and call center industries.
  • Proven success in winning large-scale contracts and accounts through effective RFP responses and proposals.
  • Extensive experience in grant writing and navigating complex funding requirements.
  • Strong knowledge of call center operations and the specific needs of insurance and sales organizations.
  • Ability to work effectively under tight deadlines and manage multiple high-priority projects simultaneously.
  • Excellent written and verbal communication skills, with an eye for detail and clarity in messaging.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and proposal management software/tools (e.g., RFPIO, Loopio).
  • Strong organizational and project management skills, with the ability to lead cross-functional teams to success.
